Getting Started with 3D Scanning: 7 Considerations for New CBCT Machine Owners

KaVo OP 3D Pro CBCT system

Hey, new CBCT owner!  We don't have to tell you what you already know.. but you just made a significant investment for your practice. After considerable research and planning, you now have a new piece of technology that has the potential to impact the bottom line for your practice!

You and your staff are very likely excited to get started! But first.. you need to get everyone who may be readily taking, managing and reading 3D scans ready for this next evolution in your practice. And this new integration may seem daunting, you already have a workflow for you and your staff - and patients to see!

Here at Renew Digital, we’ve worked with thousands of doctors just like you to help them get started with their new CBCT system. We want to help maximize your investment, both clinically and from a financial perspective.

Based on the years of feedback we’ve received from doctors, here’s our expert tips to help make your new CBCT system an immensely valuable investment for your practice. These also include considerations we've heard from other doctors, things some wish they knew before/shortly after they purchased a CBCT.

#1 Training & Certification

Step 1 is crucial to schedule training on operating the CBCT machine and interpreting the resulting 3D scans. Training programs are typically provided by your dealer as part of your purchase (though you should confirm so).

If you purchased from Renew Digital, every CBCT machine we sell comes with on-site training. This training is available for a reason, so be present for the training. Do not schedule patients during this time; we’ll ask for 2 hours of uninterrupted time to be fully devoted to your ROI-generating investment.

Then, after our certified technician conducts your training, we recommend getting started scanning patients right away - even as soon as the next Monday morning.

Certification may be required by regulatory authorities or professional organizations to ensure competence and patient safety. Again, your dealer should have covered this with you during the installation process, but double confirm you have the correct certification and this is reviewed and reviewed regularly.

#2 Radiation Safety

Just with any device which emits radiation, it is essential to adhere to safety guidelines and regulations. Familiarize yourself with local radiation protection guidelines and implement proper radiation hygiene practices. This includes using appropriate shielding, optimizing exposure parameters, and ensuring proper use of the CBCT machine to minimize patient and operator radiation dose.

#3 Patient Selection & Justification

CBCT imaging should be justified based on clinical necessity. Carefully evaluate each patient's case to determine if CBCT is necessary for their diagnosis and treatment planning. Consider the risks and benefits of using CBCT compared to alternative imaging modalities, and document the reasons for selecting CBCT in the patient's record.

#4 Informed Consent

Obtain informed consent from the patient before performing CBCT scans. Clearly explain the purpose, benefits, and potential risks associated with the procedure. Address any concerns or questions the patient may have and ensure they understand the nature of the examination, including radiation exposure.

#5 Image Acquisition Parameters

Understand the various image acquisition parameters offered by the CBCT machine. Ideally, your technician covered these in your training, but just in case you need a refresher: this includes settings such as field of view (FOV) size, resolution, exposure time, and patient positioning.

Select appropriate parameters based on the clinical indication, ensuring optimal image quality while minimizing radiation dose and scanning time.

#6 Image Interpretation & Reporting

Develop proficiency in interpreting CBCT images and accurately identifying anatomical structures, pathologies, and relevant findings. Familiarize yourself with the appropriate software tools for image manipulation, measurements, and 3D reconstructions.

PRO TIP: integrate learning into your daily routine. Did you know that most 3D or dental cone beam CT imaging is read in a two-dimensional format? For many just getting started, the learning curve for reading and diagnosing from a 3D scan can sound intimidating when you are already busy running your practice. But in reality, you already know the anatomy of the oral cavity. CBCT enables you to see coronal, axial, and sagittal views in a 2D format, thus, shortening the learning curve!

Once you get into it, document your observations and interpretations in a structured and comprehensive radiology report.

#7 Quality Assurance & Maintenance

Establish a quality assurance program for your CBCT machine to ensure its reliable performance. Follow the manufacturer's recommendations for regular maintenance, calibration, and software updates. Keep detailed records of maintenance activities, including any service or repairs performed on the machine.

BONUS: Collaboration & Consultation

Here's one additional tip from the doctors we work with. Develop a network of specialists, radiologists, and colleagues with whom you can consult and collaborate. This opens up new avenues for referrals, as well as broadens your learning.

Seek expert opinions when encountering challenging cases or unfamiliar findings. Engage in professional development activities to stay updated with the latest advancements in CBCT imaging and its applications.

By addressing these considerations, new CBCT machine owners can ensure safe and effective implementation of 3D scanning in their practice. Continual learning, adherence to best practices, and ongoing quality assurance are key to achieving accurate diagnoses and optimal patient care.
