Selecting Your Cone Beam
First, your Sales Representative will get to know you and your practice, what types of procedures you are performing now and wish to perform in the future, and your budget. They'll also ask you about the space where the CBCT will go. How big it is, what kind of barriers or shielding are in place (if applicable), what power and network outlets are available, how your patients and staff will get in and out, which direction they need to enter the machine (from the left or right), etc.
Then they will look at current inventory and find some options that meet all of that criteria - and stay within budget. They'll finalize the sale and then you'll be assigned to one of our Project Coordinators to manage the installation process.
Project Management
There are a lot of details to juggle when getting a new or used cone beam system, especially if you are in a state where special considerations are required for dental CBCT systems. Your Project Coordinator will take care of all of those details so you can focus on your patients.
They will send you important links to state requirements, registration forms, and other guidelines and they will review the dental CBCT installation process with you so you know exactly what to expect.
They will ask you some simple questions about your space, and how many scans of each type you may expect to take each week. They will need to know how the walls are constructed and will ask for some photos (cell phone photos are just fine!) so they understand exactly what is going on with your X-ray space.
They will review your room dimensions and create a CAD drawing with your new pre-owned cone beam in place. They will work with you to add the exposure station, PC, and network and electrical outlets. They will finalize the CAD drawing once you've approved the location of the cone beam and all related items.
If required by your state, they will complete and submit a shielding plan application to a physicist based on those CAD drawings, specifications, barrier types and location, machine output, and predicted scan volume. Once the shielding plan has been finalized, the physicist will submit it to your state and provide a copy to you.
Your Project Coordinator then will schedule the installation and delivery of your dental cone beam machine.
What to Expect on Installation Day
Typically installations are a two day process. It is preferable that your previous X-ray, if applicable, be removed at least one day prior to our technician team arriving on site. That will make things go much more smoothly and clear the path for a much easier and efficient imaging transition.
On day one, the technician team will arrive well in advance to meet the cone beam delivery. The lead technician will inspect the crate and machine, accept the delivery, and get to work. They will install the unit per the pre-approved plan as well as state and FDA guidelines. They will fully test the functions and calibrate it to meet the manufacturer's specifications.
On day two, the lead technician will come back onsite to conduct CBCT training. The technician will show you how to position patients, capture images, use the software, and how to care for and maintain the equipment. We are careful not to overwhelm you or your staff during this first training session. Our goal is to get you and your staff comfortable with positioning your patients, using the machine, and navigating through the software. The technician will provide you with a full set of manuals, videos, and other resources so you can learn more advanced operations at your own pace. If you need more training, we can also set you up with additional remote sessions when you're ready to learn more.
After Installation
Once the tech leaves the office and your cone beam machine is fully up and running, you will be placed in the hands of Renew Digital Support for the duration of your warranty. And, in the rare event that your machine needs service or replacement parts, they will take care of all of the details so you can stay focused on your patients.
Your Project Coordinator will send you a copy of your equipment warranty, all the information you’ll need to contact Renew Digital Support and a copy of the FDA 2579 Report of Assembly of a Diagnostic X-Ray System form that we send to you, the state, and the FDA on your behalf. Please note that this form does not register your equipment with the state or FDA; it simply notifies these entities that a dental cone beam installation has occurred.
